Privacy statement

What we do with your personal data when you get in touch with us, in plain language.

Who we are

STOF is a collaboration between By CJQ (Carlijn Hofland, KvK 85584215) and Nona Stabel (KvK 42179175), both registered with the Dutch Chamber of Commerce (KvK). STOF itself is not a separate legal entity. Together, we are responsible for the personal data collected through this website. Please send any questions about privacy to aantafel@stoftotgroei.nl.

What personal data we process

When you complete the contact form, we process your name, organisation, email address, phone number (if provided) and the content of your message. If you email us directly, we keep your email and email address in our mailbox.

When you book an introductory call through our booking page, we process your name, your email address and the time slot you select. The appointment is recorded in our CRM system and our calendar. The booking page is hosted by HubSpot, so HubSpot's terms also apply.

Whenever you visit the website, our hosting provider (Vercel) receives the IP address of your device and retains it briefly in its server logs. We do not use these logs to identify you.

Purposes and legal basis

We use your personal data to respond to your enquiry and to follow up on our conversation. You ask us to do so, and we have a legitimate interest in responding. If you request a proposal, processing is necessary to take steps before entering into a contract. We use server logs and the spam check on the basis of our legitimate interest in keeping the website secure and preventing misuse. We will not send you newsletters or marketing communications unless you have asked us to.

How long we keep your data

Your personal data is stored in our CRM system (HubSpot) and, in the case of email, in our mailbox. We keep it for up to two years after our last contact. If our contact leads to an engagement, we keep records for as long as the law requires for our financial administration.

Analytics

We use Simple Analytics, which measures website visits without cookies and without collecting personal data. That is why we do not ask for cookie consent.

Service providers

Our website is hosted by Vercel. Form submissions and appointments are recorded in HubSpot, our email and calendar run on Microsoft 365, and we measure visits with Simple Analytics. HubSpot and Microsoft store your personal data within the EU. We have agreements in place with these providers on how they handle your data. Some of them are based in the United States. Where personal data is transferred outside the EU, this is done under the EU-US Data Privacy Framework or the European Commission's standard contractual clauses.

Your rights

You have the right to access the personal data we hold about you, to have it corrected or erased, to restrict its processing, to receive it in a commonly used format, and to object to its processing. To exercise these rights, please email aantafel@stoftotgroei.nl. We will respond within one month.

If you are not satisfied with how we handle your personal data, you have the right to lodge a complaint with the Autoriteit Persoonsgegevens, the Dutch Data Protection Authority.
